Migrating from Microsoft 365 or Outlook.com
Move your mail and your domain from Microsoft 365 or an Outlook.com account to eoinbox.
As with Google, there are two situations:
- An outlook.com or hotmail.com address. The address belongs to Microsoft. You can bring your old mail and forward new mail, and switch your accounts to your own domain over time.
- Microsoft 365 on your own domain. The domain is yours, so the address can move. You import your mail and then point the domain to eoinbox.
An outlook.com or hotmail.com address
- Import your mail. In eoinbox, open Settings → Import, choose Microsoft 365 / Outlook.com and follow the sign-in prompts.
- Forward new mail. In Outlook.com, open Settings → Mail → Forwarding, turn forwarding on and enter your eoinbox address. Keeping a copy of forwarded messages is up to you.
- Move your accounts over time to aliases on your own domain, one per site.
Microsoft 365 on your own domain
1. Connect the domain, but keep Microsoft's MX
Add the domain in eoinbox and add the verification, SPF, DKIM and recommended records. Do not change the MX record yet. For SPF, add include:spf.eoinbox.com next to include:spf.protection.outlook.com in the existing record.
2. Create your addresses
Create an eoinbox address for every Microsoft 365 mailbox, alias or group address you want to keep, for example you@, info@ and invoices@. They all arrive in your single inbox.
3. Import your mail
Open Settings → Import, choose Microsoft 365 / Outlook.com and sign in with the Microsoft 365 account. Folders are kept. Large mailboxes can take a few hours.
4. Lower the MX TTL
Set the TTL of the existing MX record (it looks like yourdomain-com.mail.protection.outlook.com) to 300 seconds, and wait out the old TTL.
5. Switch the records
- Replace Microsoft's MX record with ours:
mx1.eoinbox.com(priority 10) andmx2.eoinbox.com(priority 20). - Replace the
autodiscoverCNAME (autodiscover.outlook.com) withautoconfig.eoinbox.com, so mail apps find eoinbox instead of Microsoft.
6. Import again and keep a bridge
Run the import once more for messages that arrived during the switch. For 14 days, eoinbox keeps checking the old mailbox for stragglers.
7. Remove the domain from Microsoft 365
This step is easy to forget. As long as the domain is still listed in the Microsoft 365 admin center (Settings → Domains), Microsoft treats it as its own: mail sent to your domain from inside that Microsoft 365 organisation never leaves Microsoft. Remove the domain there once the switch is complete. Then:
- remove
include:spf.protection.outlook.comfrom your SPF record; - delete Microsoft's DKIM records (
selector1._domainkeyandselector2._domainkey); - export calendars and contacts if you need them (calendar sync in eoinbox arrives later);
- cancel the subscription.
If something goes wrong
Put Microsoft's MX record back and remove ours. Mail returns to Microsoft as DNS updates. Everything already delivered to eoinbox stays there.
